How to Use the Hours Worked Calculator

Enter the start time and finish time for your first shift, then enter any unpaid break in minutes. Click Add Another Shift to calculate multiple days or an entire working week.

The calculator automatically handles an end time that occurs after midnight.

It calculates:

  • Gross shift duration;
  • Unpaid break time;
  • Net hours worked;
  • Decimal hours;
  • Total minutes worked;
  • Weekly total hours;
  • Hours above an optional overtime threshold;
  • Base hourly pay estimate; and
  • Optional estimated gross pay.

How Do You Calculate Hours Worked?

The basic calculation is:

Hours Worked = Finish Time โˆ’ Start Time โˆ’ Unpaid Breaks

For example, if you work from 9:00 AM until 5:30 PM with a 30-minute unpaid lunch break:

8 hours 30 minutes โˆ’ 30 minutes = 8 hours worked

Hours Worked Example

Suppose your shift is:

  • Start: 7:30 AM
  • Finish: 4:00 PM
  • Unpaid break: 30 minutes

Gross shift duration:

8 hours 30 minutes

Subtract the 30-minute break:

8 hours 30 minutes โˆ’ 30 minutes = 8 hours worked

Decimal hours:

8.00 hours

How to Calculate Work Hours With a Lunch Break

First calculate the elapsed time from clock-in to clock-out. Then subtract the unpaid lunch or meal break.

Net Work Time = Elapsed Shift Time โˆ’ Unpaid Break

For a 9:00 AM to 5:00 PM shift with a one-hour unpaid lunch:

8 hours โˆ’ 1 hour = 7 hours worked

What Are Decimal Hours?

Decimal hours express minutes as a fraction of one hour.

Common conversions include:

  • 15 minutes = 0.25 hours;
  • 30 minutes = 0.50 hours;
  • 45 minutes = 0.75 hours;
  • 1 hour 15 minutes = 1.25 hours;
  • 7 hours 30 minutes = 7.50 hours; and
  • 7 hours 45 minutes = 7.75 hours.

How to Convert Work Minutes to Decimal Hours

Decimal Hours = Hours + (Minutes รท 60)

For example, 8 hours and 20 minutes equals:

8 + (20 รท 60) = 8.33 hours

How to Calculate Weekly Hours Worked

Calculate the net hours for each shift and add them together.

Weekly Hours = Monday + Tuesday + Wednesday + Thursday + Friday + Other Shifts

The interactive calculator above allows you to add as many shifts as required.

Can I Calculate Overnight Shifts?

Yes. If the finish time is earlier than the start time, the calculator assumes the finish occurs on the following day.

For example:

  • Start: 10:00 PM;
  • Finish: 6:00 AM;

The gross shift duration is:

8 hours

Can I Calculate Multiple Work Shifts?

Yes. Click Add Another Shift for each additional work period.

This can be useful for:

  • Weekly timesheets;
  • Casual shifts;
  • split shifts;
  • contract work;
  • night shifts;
  • multiple jobs; and
  • project time tracking.

How Are Unpaid Breaks Treated?

The calculator subtracts the entered break minutes from the gross elapsed shift duration.

For example:

9 hours gross โˆ’ 45 minute unpaid break = 8 hours 15 minutes worked

Can I Use the Calculator for Paid Breaks?

If the break is paid and should count as working time, enter zero minutes for the unpaid break.

Only time entered in the break field is deducted.

Hours Worked vs Time Duration

A simple time-duration calculation measures elapsed time. Hours worked can differ because unpaid breaks may need to be deducted.

For general elapsed-time calculations, use the Time Duration Calculator.

How to Calculate Gross Pay From Hours Worked

For a simple base-rate estimate:

Gross Pay = Hours Worked ร— Hourly Rate

For example:

38 hours ร— $35/hour = $1,330

This does not automatically include allowances, penalty rates, loadings, superannuation or tax.

How Does the Overtime Threshold Work?

The calculator lets you enter a weekly threshold, such as 38 hours, for comparison purposes.

If total hours exceed that value:

Hours Above Threshold = Total Hours Worked โˆ’ Entered Threshold

This is only a mathematical calculation and does not determine whether those hours legally qualify as overtime.

Are Hours Over 38 Automatically Overtime in Australia?

Not necessarily in every situation.

Australian working-hour and overtime arrangements can depend on:

  • The National Employment Standards;
  • The applicable modern award;
  • An enterprise agreement;
  • An employment contract;
  • ordinary hours arrangements;
  • rostered hours;
  • reasonable additional hours; and
  • the day and time the hours are worked.
The overtime threshold in this calculator is a user-selected mathematical reference only. It does not determine legal overtime entitlement or the correct pay rate.

Can I Estimate Overtime Pay?

The calculator includes an optional overtime multiplier for a simple planning estimate.

For example, if:

  • Base rate = $35/hour;
  • Overtime multiplier = 1.5;

the simplified overtime rate would be:

$35 ร— 1.5 = $52.50/hour

Actual overtime rates can vary significantly under awards, agreements and employment arrangements.

Can I Use This as a Timesheet Calculator?

Yes. The calculator can be used as a basic timesheet calculator because it supports multiple shifts and displays each shift separately.

It can help you check:

  • Daily work hours;
  • weekly totals;
  • unpaid breaks;
  • decimal hours; and
  • basic pay estimates.

Can I Use It for Casual Work?

Yes. You can enter each casual shift separately and total the hours.

However, the optional pay estimate does not automatically include casual loading or award-specific penalty rates.

Can I Use It for Part-Time Work?

Yes. Enter each part-time shift and the calculator will total the net hours.

Can I Use It for Contractors?

Yes. Contractors can use the decimal-hours result for general time tracking or billing calculations.

For example, 6 hours 30 minutes is displayed as 6.50 decimal hours.

How Many Minutes Are in an 8-Hour Workday?

8 ร— 60 = 480 minutes

An 8-hour workday therefore contains 480 working minutes.

How Many Hours Is 7:30 AM to 4:00 PM?

The elapsed period is 8 hours 30 minutes.

If there is a 30-minute unpaid break:

8.5 โˆ’ 0.5 = 8.0 hours worked

How Many Hours Is 9 AM to 5 PM?

The gross elapsed time is 8 hours.

With a 30-minute unpaid lunch break, net hours worked would be:

7 hours 30 minutes = 7.5 decimal hours

How Many Hours Is 8 AM to 4:30 PM?

The gross elapsed time is 8 hours 30 minutes.

With a 30-minute unpaid break:

8 hours worked

Hours Worked Calculator Assumptions

This calculator assumes:

  • Each entered shift is no longer than 24 hours;
  • An earlier finish time is treated as the following day;
  • Break minutes are unpaid and fully excluded from working time;
  • Paid breaks should not be entered as unpaid breaks;
  • Decimal hours are based on 60 minutes per hour;
  • The overtime threshold is only a mathematical reference;
  • The pay estimate uses the entered hourly rate;
  • The optional overtime multiplier applies only to hours above the entered threshold;
  • No PAYG tax is deducted;
  • No superannuation is included;
  • No casual loading, allowances or penalty rates are automatically applied; and
  • Results are general planning estimates only.
